How do I sign up for access to the ADFITECH website?

Go to and click the Login button in the top right corner. The next page will ask you which system you would like to login to.

Clients who use the Post Close &/or Pre-Funding service should choose the QC results and Online Reporting service.

If you are using the Loan Shipping Delivery and Insuring service, you would select the Loan Vault.

The next page is the Attention All Users page, click the Sign up for Access link under the Login boxes.

Complete the information box on the next page. Access is typically granted within 24 hours.

Who do I contact to unlock my user account?

If you are locked out of your account to the ADFITECH website you can contact your customer service representative to unlock the account.

What do I do if I have forgotten my password to the website?

Click the ‘Forgot you Password’ link under the login boxes to reset your password.

How do I view my reports online?

After you log into the system, you will be taken to the Available Services page. There are various ways to view the online reports.

The QC Loan Search option allows you to view the reports for a specific loan.

The QC SSN Search option allows you to search for loans based on social security numbers.

To view the reports for the entire sample of loans for a specific months review, the QC Reports option would be used.

What is an EPD review?

EPD stands for Early Payment Default. These are loans that go into default within the first six payments, or are 60 days delinquent within the first twelve months.

Early Payment Default loans that become 60 days past due must have reviews completed within 45 days from the end of the month the loan is reported as 60 days past due.

When should the selections be made?

Selections should be made within 30 days of loan closing and the QC review of any specific loan is performed within 60 days of delivery of the selections.

If you are uploading your closed loan list through the website please be sure to use the Loan Data Upload function.

Any files being uploaded for a QC audit through the website should be uploaded using the Loan Document Upload function.

What is a defect rate?

The significant defect rate is the percentage of loans with 4 or 5 rated errors.

Can ADFITECH provide us a Q.C. Plan? What does it cost?

Yes. ADFITECH has a Q.C. Plan that has been accepted by every Agency and private investor that we have presented it to.

ADFITECH will work with you to customize a Q.C. Plan for your specific investor’s requirements. And the ADFITECH Q.C. Plan is included at no additional cost as part of our Q.C. services.

Do I have to sign a long term contract to do business with ADFITECH?

No. The ADFITECH agreement is a month-to-month agreement. You are under no contractual obligation to continue doing business with ADFITECH, however, we are confident that you will continue to utilize our services because of the quality of our work and outstanding customer service.

What Q.C. software do you use? Can I buy it?

ADFITECH uses a proprietary Q.C. software package that has been developed by us for us which is constantly updated and refined.

We do not sell our software because we believe it is also necessary to have the trained professionals that know quality control and can provide our client’s with years of experience that you can not get by simply buying a software program.

ADFITECH approved by Fannie Mae, Freddie Mac, FHA, VA, FHLB?

No. All the agencies maintain a policy against “approving” any vendor. However, ADFITECH has had a long standing relationship with all of the agencies and is recognized as a leader in the industry with a reputation for excellence. The references we receive from our satisfied clients are the best “approval” we can hope for.

Can we send a test file for review?

Yes. We would need to both sign a NDA and Confidentiality Agreement to ensure the privacy of your customer and give us the authority to conduct the necessary investigation.

This would not obligate you to send any future work to us. If you want to stop after the test file, that is your choice. On the other hand, if you do choose to continue with ADFITECH Q.C. Services, all we have to do is execute a Master Agreement for Q.C. Services and you are ready to go

What makes ADFITECH different from other Q.C. vendors?

All ADFITECH audit personnel are Full Time staff employees. We do not hire sub-contractors to do Q.C. Reviews, which means that you are assured a consistently high level of accuracy and professionalism.

ADFITECH also maintains an Auditor Training School to assure that all of our employees are properly trained and up to date on all the regulatory changes.

In addition ADFITECH has an internal Q.A. department responsible for reviewing the work of every auditor on a regular basis. So you can be assured that the audit reports you receive are accurate and well documented.

How do you protect my customer’s private information?

ADFITECH has many layers of security in place to protect your customer’s private information.
A) ADFITECH begins by performing a through background investigation, including drug testing, on every employee before being hired.
B) ADFITECH’s location in Edmond, Oklahoma, is a controlled access facility, with state of the art, 24 hour video surveillance.
C) All reviews are performed on site by full time staff auditors. ADFITECH does not employ contract underwriters to review our client’s files.
D) All loan data and loan file images is stored in our LOANVAULT® imaging system and is protected with 132 bit encryption and firewall protection, within a fire proof concrete vault. All information is continually backed up to our second building as well as a secure co-location, to ensure zero downtime in the event of a natural disaster.
E) The ADFITECH I.T. staff constantly monitors all email and data transmissions for viruses and breaches of security.

Does ADFITECH have a SAS-70 or SSAE16?

Yes. ADFITECH maintained a Level II SAS-70 Certification through 2010.Beginning in 2011 ADFITECH began SSAE16 Audits, which replaces the SAS-70.

Can I get a copy of your financial statement?

Yes. We can provide a financial statement upon request. ADFITECH is an independent company incorporated in the state of Delaware, operating in Edmond, Oklahoma.

Do you carry liability insurance?

Yes. ADFITECH maintains appropriate levels of insurance coverage.
A) Comprehensive General Liability policy in the amount of $2,000,000 for each occurrence and an annual aggregate of $4,000,000
B) Professional Liability policy in the amount of $2,000,000
C) Employer’s Liability Insurance in the amount of $200,000
D) Umbrella Coverage in the amount of $4,000,000
E) Crime Insurance coverage in the amount of $1,000,000
F) Employee Crime insurance in the amount of $1,000,000
G) E&O Coverage in the amount of $1,000,000

How long does it take to get set up?

24 hours. Once we exchange information and sign the agreement, we can get your database set up and give you access to our secure web link with 24 hours, so we can begin the process of making loan selections and receiving files as soon as you are ready.

How do I sign up with ADFITECH?

All you have to do is sign the Agreement for Quality Control Services and the Confidentiality Agreement, which spell out the responsibility of both parties in collecting and using consumer information for audit purposes.

Audit Services Questions

Can I deliver the files in electronic format?

Yes. Files and loan data can be uploaded directly to our secure website, delivered via SFTP, or provided to us on a disk. ADFITECH also accepts hard copy files, which will be converted to images upon receipt.

Can I get access to the actual loan file from the website?

Yes. ADFITECH offers clients the ability to retrieve entire loan files from the website. Supporting documentation (i.e. Review Appraisals, Occupancy Inspections, Public Records Searches, Re-verification Mail, etc.) is also available on the website. These images are available for 3 years from the time the review is completed for active clients.

Can I get reports in electronic format?

Yes. ADFITECH offers a wide variety of reports which can be opened in an Excel spreadsheet. Please don't hesitate to ask for custom reporting which can typically be developed at no extra cost.

Do you complete desk reviews of the appraisal and order 10% field review appraisals per HVCC QC requirements?

Yes. ADFITECH performs a desk appraisal review on every loan which meets HVCC requirements, and we track and order the necessary Field Appraisals on 10% of the Q.C. review population. The desk appraisal review is included in our per-file cost and we only pass along the actual third party cost of the Field Appraisal to you.

Do you complete Federal and State high cost testing?

Yes. ADFITECH includes a Federal High Cost analysis in every loan review and we can order State Specific High Cost testing from a third party vendor for an additional fee.

Do you perform a compliance review?

Yes. All ADFITECH loan audits include a comprehensive Compliance Review. All disclosures are checked for accuracy and completeness and the HUD-1 is reviewed and recalculated.

Do you send out re-verifications?

Yes. Using the information provided in the loan file, ADFITECH will re-verify all employment and asset information, by mail, fax, and telephone. ADFITECH will order the necessary credit reports and field appraisals.

Is the audit Agency Specific?

Yes. All ADFITECH audits are Agency and Investor specific. We can also customize the audit to include your internal guidelines and fit your needs.

What is the turn around time?

ADFITECH would like to have four to six weeks to complete a comprehensive review. This would allow time for all the re-verification and field appraisal reviews to be returned and analyzed. Our target is to return results within thirty to forty days of receiving the complete set of loan files.

How often should an audit be performed?

Monthly. It is recommended and dictated by most of the agencies that a Q.C. audit be performed on a monthly basis. Current investor guidelines require selections to be completed within 30 days of closing and the audit must be completed within 60 days of selection, or 90 days of closing.

Doing the audit on a monthly basis, will give you the information you need in a timely manner to correct errors in processing and give your employees the training they need to succeed. It is necessary for you to deliver the loan data and loan files to Q.C. in a timely manner in order to keep you in compliance.

Post Closing/ Fulfillment Questions

How do we access the images?

You will access the images over the internet via our secure website, You will be assigned a user i.d. and you will be able to access your images after clearing security.

How long do we keep them?

We will keep the images as long as you are a client.

Do I have to purchase expensive software or hardware?

No. ADFITECH owns and maintains all the necessary hardware and the proprietary LOANVAULT® imaging software at our location. You just deliver the loan file to us and we take care of the rest.

Who do we contact if there are technical issues)?

Your main point of contact will be your Customer Service Representative. Often times the CSR will be able to resolve your problem immediately. If not, our IT staff is available to pinpoint any trouble and eliminate it.

What are your turnaround times?

In most cases we try to have all loans audited and in the repository within 48 hours of receipt.

What happens to the files after we receive them (shred, store, how long, etc.)?

Once the file has been scanned we will hold the paper file according to your wishes. We can permanently store the file in a storage facility or we can have the file shred after a certain period of time.

What type of reporting can we provide?

We can provide you company daily and weekly reports that track our progress as we work the files. We can also send reports detailing the errors found in the loans. We have reports that will fit your specific needs.

Do you track final docs?

Yes, we track and retrieve final docs on your loans

Who follows up on NORs?

ADFITECH will attempt to resolve HUD NOR files ourselves. We do our best to catch any discrepancies before the file goes to HUD.

Who follows up on Investor stips?

We will attempt to resolve any issues the investor finds in the file. We do our best to catch any discrepancies before the file is shipped to the custodian.

What are your emergency contingency plans?

We have a secure file room with reinforced concrete. The files are housed in the file room. Inside the file room are several fire-proof cabinets where live Notes are kept for safekeeping.

We have an alternate backup site away from our main campus in case of a disaster at our location. Backups are made nightly and transmitted to the backup location.

Do you prepare HUD Case Binders?

Yes, we prepare the HUD Case Binder and ship it to the correct HOC.

What does it cost?

Why did ADFITECH pull my credit report?

ADFITECH conducts Quality Control audits on Residential Mortgage Loans. This Quality Control function is defined by FHA, VA, Fannie Mae and Freddie Mac as well as other private investors. The function is clearly defined in their guidelines and policies. It is also defined in the guidelines that they allow a “third-party” firm to complete these audits.

We have a signed authorization from the borrower giving the lender, its successors, or its agents (ADFITECH) the right to re-verify anything in the original loan file, including the credit report. This new credit report is compared to the original credit report in order to verify that what the information used to process the loan was accurate and was not altered during the approval process.

The Gramm-Leach-Bliley Act recognized this function when it gave us the right to this information in the “permissible purpose,” section 4: “For use to protect against or prevent actual or potential fraud, unauthorized transactions, claims, or other liability.”

I have no documents with a date signed. I have no W2's, paystubs, or taxes.

We are an outsourcing quality control company hired by the bank or mortgage company. We do audits for the banks and mortgage companies.

Why should I send this request for information back?

Sending the information back will help the lender meet their quality control requirements, and in cases of incorrect documents, it will help in getting them corrected.

I am with the company you say you are doing this quality control for, and I have never heard of you.

Since we are an outsourcing vendor, we are allowed to use your company's name. Please contact your quality control department for verification that we are allowed to work on your behalf.

The document you sent is fraudulent, and what are you going to do about it?

ADFITECH only collects and reports the findings. It is up to the lender to determine what action will be taken.

The authorization is over 6 months old, and we require a more current one.

In the comments section of the page at the very bottom state you do not reply to authorizations over 6 months old.

The name that is in the reference on the first page does not match the authorization or the other attached documents.

This is because the cover page reference is the borrower and the authorization and attached documents are for the co-borrower.

The person has a 401K with the company stock. Is this ownership?

Only if they have a majority of stock or are a major stock holder (25%).

Can I attach our form to your request?

Yes, but please also answer the questions and complete the signature, date, title, and phone number section.

Why did I receive this by fax, call, and now by mail? How many times must I respond?

Please respond to all the requests. We do written and verbal verification just like when the original file was worked.

My records do not go back that far?

Please note in the comments, and send the package back.

My account has been debited, and I have no idea what this is for.

First, your bank should not have debited your account. We pay the fees. Please provide us with the particular banking institution so that on future audits we can note that a fee is required. If they will not credit your account, please let us know, and we will reimburse you.

Do I need to attach a copy of the documents attached if I don't have a copy of the pay stub.

This only applies if you provided a document for the borrower (ie: the first few pages of the taxes).

The person that completed the information is no longer with the company, so I can not verify it.

As an appraiser, I don't know who you are, or who gave you authorization to to get this information.

Thank you for your question. ADFITECH is a contract audit company performing Quality Control/Due Diligence audits for the noted client. As part of this audit, we verify that what the Appraisers identity was not stolen or that a appraisal report was not maliciously modified.
When we do not receive any negative information from the Appraiser, we assume that the report sent was the actual report completed. It seems appraisers are very quick to respond when their name is associated with something they did not do.
We understand that you do not feel comfortable responding to this, however, if you were to ever receive an appraisal report with your name that is not accurate based on your records, we would ask that you let us know.
